## 1. Custom Voice Commands <a href="#h_01ed483a62497genpwsf5q5nf0" id="h_01ed483a62497genpwsf5q5nf0"></a>

Voice In comes built-in with voice commands for everyday tasks like punctuation, quotes, smileys, and special characters. With custom voice commands, you can create your voice commands.&#x20;

You can use custom voice commands to correct errors and automate repetitive text entries. For example, if you are a call center agent, you can map "refund issued text" to a template text that explains to the customer that his payment refund has been issued.&#x20;

To add custom voice commands, go to the [Voice In options page](https://dictanote.co/voicein/options/) and scroll down to the Voice Commands section. Then, follow the instructions for Custom Voice Commands.&#x20;

## 2. Advanced Mode <a href="#h_01ed48f29a8nmt9zyryzr4j31r" id="h_01ed48f29a8nmt9zyryzr4j31r"></a>

Some sites use complicated input handling, making it hard to add text through the extension. For example, on Facebook, your status message text can contain person mentions, hashtags, etc. For this reason, Facebook uses complex logic to handle text input and display. This makes it non-trivial for Voice In to insert transcribed text.

On many such sites, you can use advanced mode to dictate. Advanced Mode uses a combination of proprietary text insertion strategies to enable text insertion on sites that use non-trivial input handling. To the user, Advanced Mode behaves just like Default Mode. However, it is more robust and enables dictation on almost all websites.&#x20;

Advanced Mode also triggers browser events like change, keypress, etc. Hence, it will work better on sites that listen to these events, like sites with auto-complete or ones with a submit/send button.

**Advanced Mode is enabled by default when you have Voice In Plus.**

You can disable Advanced Mode if you wish to (not recommended); check out [How to enable/disable Advanced Mode](/help/features/how-to-enable-or-disable-advanced-mode).

## 3. Dictate Across Multiple Tabs

By default, when you switch tabs, dictation stops, and you need to start Voice In manually again. Enabling this feature allows you to change tabs without worrying about dictation stopping.

To enable it, go to the [Voice In options page](https://dictanote.co/voicein/options/) and select the Dictate Across Multiple Tabs option (this setting is in the Dictation Settings section).

<figure><img src="/files/jIbQDICc76EkD9lvdJZh" alt=""><figcaption></figcaption></figure>

## 4. Dictation Box <a href="#h_01ed484b4jcmjdqpj2b2p7hd5w" id="h_01ed484b4jcmjdqpj2b2p7hd5w"></a>

While we are always adding support to new websites, if you encounter a website where Voice In is not working, you can use Dictation Box to dictate on that webpage. Dictation Box opens a textbox on the page -- you can always dictate into this textbox. Once you are done, copy-paste the text into the target textbox.

To enable the Dictation Box, start Voice In on the target page and click on the Voice In pop-up.

<figure><img src="/files/036ZYhxRfdg5PsABxdix" alt=""><figcaption></figcaption></figure>

A settings modal will open up on the page. Select the enable dictation box for this domain.

<figure><img src="/files/FPWU777hZ4wfef5F4dAy" alt=""><figcaption></figcaption></figure>

The dictation box will appear as shown below. Click inside the box and start dictating. After you are done, click Copy to copy the text in the dictation box and paste it into the desired field.&#x20;

<figure><img src="/files/wmdxmh7HlhGC96BSZ9Cr" alt=""><figcaption></figcaption></figure>

## 5. Language Switcher

Language switcher makes it easy to switch between multiple languages. You don't have to restart Voice In. You can currently switch between three languages. To configure the three languages, go to the language switcher section on the [Voice In Options page](https://dictanote.co/voicein/options/).

<figure><img src="/files/7UQUqybGgUItffZ39bgY" alt=""><figcaption></figcaption></figure>

Select the three languages you wish to be able to switch between.

There are two ways you can switch between the languages:

1. **Using Keyboard Shortcuts**: As shown in the image above, each language is mapped to a keyboard shortcut. When Voice In is ON, switch to that language using the keyboard shortcut.
2. **Page Buttons**: In the options page, click on the "Show language switching options in the page pop-up" checkbox to display the language switching buttons right on the page you are dictating. If you enable this option, you should see the language switching buttons on the page like below. Use them to change languages.

<figure><img src="/files/97sqVDbQ19ee7mrfuPT0" alt=""><figcaption></figcaption></figure>

## 6. Change Case <a href="#h_01ed484xn6rcthz3deqwp68m88" id="h_01ed484xn6rcthz3deqwp68m88"></a>

Change the case of the dictated text to Sentence case, UPPERCASE, lowercase, etc. You can find it in the Dictation Text Transforms section on the [Voice In Options page](https://dictanote.co/voicein/options/).

Sentence-case solves a critical problem. A common issue with the dictated output is that it doesn't understand whether the word in a given context is a proper noun. As a result, you will see words that shouldn't be capitalized get capitalized. Setting case to "Sentence case" lets you disable uppercase except at the start of the sentence.&#x20;

<figure><img src="/files/bFAVNfHOeXufjFMGxjR7" alt=""><figcaption></figcaption></figure>

## 7. Remove Censorship/Profanity Filter

By default, the browser's speech-to-text engine will censor curse words. However, for users who prefer or need uncensored transcriptions, you can reverse this by using the disable the profanity filter feature.&#x20;

Refer to the article linked below for instructions.&#x20;

{% content-ref url="/pages/HyT0XpOrOan26pdeg2Hy" %}
[Remove Censorship/Profanity Filter](/help/features/remove-censorship-profanity-filter)
{% endcontent-ref %}

## 8. Cursor Lock (Beta)

Cursor lock lets you pin the dictation to a tab. Once pinned, you can freely switch tabs, and your input will continue in the pinned tab.

To enable cursor lock, press and hold the settings icon for four seconds.

<figure><img src="/files/33jw6SHkQRdcGQ6Nv6Vl" alt="" width="168"><figcaption></figcaption></figure>

The icon will change to a lock icon, and you should see the notice that says cursor lock enabled.

<figure><img src="/files/aabxTNO4uqC4fTo83WkW" alt=""><figcaption></figcaption></figure>

Ensure you dictate at least one word into the target text box in the cursor lock-enabled tab—this will tell the extension which textbox to insert text into. Cursor Lock works on ChatGPT, Gmail, etc. It may not work on all sites.  &#x20;

# Custom Voice Commands

Custom voice commands let you map a phrase to another phrase or command. This powerful feature can be used to correct common grammatical errors, avoid repetitive data entry, trigger commands, insert uncommon words, and more.

In this document, we will go over how to create custom voice commands, create voice commands that match within words, action commands, and conclude with some popular use cases for custom voice commands.

If you want to use voice commands to perform an action like changing the dictation language, pressing a keyboard shortcut, opening a webpage, closing the current tab, or simply inserting a line break, go to the [Action Commands](#id-3.-action-commands) section.

Once you have read the guide, check out our sample voice commands lists for popular work domains: [Customer Support](/plus/voice-commands-examples/customer-support) [Healthcare](/plus/voice-commands-examples/healthcare) [Legal/Law](/plus/voice-commands-examples/legal-law)

## 1. Creating a Custom Voice Command <a href="#h_01g2j8x6d8cdrm2ztrk2nw741n" id="h_01g2j8x6d8cdrm2ztrk2nw741n"></a>

Step 1: Ensure you have the [Voice In Voice-To-Text](https://dictanote.co/voicein/install/) extension installed and have upgraded to [Voice In Plus](https://dictanote.co/voicein/plus/).

Step 2: Open the [Voice In Options Page](https://dictanote.co/voicein/options/).

Step 3: Go to the Custom Commands section and click *Add Command*.

<figure><img src="/files/4kyF8QlLl5csWMPlWws1" alt="" width="563"><figcaption></figcaption></figure>

A pop-up on the page asks for the custom voice command details.

*Say This -* phrase that will activate this voice command\
\&#xNAN;*To Insert This* - phrase you want to insert

For example, say you want to add a voice command for your phone number. You can do something like below:

<figure><img src="/files/EzPT2UzCYDgf20u1kyIa" alt="" width="375"><figcaption></figcaption></figure>

Fill out the form and click the *Add new command button*. In the example above, saying "insert phone" will insert "217-652-8632".

### **Bulk Add Commands**

You can add multiple commands at once using *Bulk Add*.

<figure><img src="/files/jPuXrj2YIOuNJxJs86MJ" alt="" width="563"><figcaption></figcaption></figure>

This will open up a pop-up. You can enter a list of voice commands in CSV format and bulk-add them.

### **Export Commands & Sync**

Use the *Export* button to export a copy of your voice commands in CSV format. A backup of your custom voice commands can also be found [here](https://dictanote.co/voicein/commands/view/). Currently, voice commands don't sync across your machines. If you are on a new machine or if you reinstall the Chrome extension, you may have to initialize the voice commands manually. We are working on automating this process.

## 2. Matching within a Word

By default, voice commands do whole-word matching. If you have a command for the word "magic", it will only match "magic" but not "magical". To match both "magic" and "magical" using the phrase "magic", you need to check the match within the word option when creating the voice command.

<figure><img src="/files/GUytcTTJrLwMO76t9vwK" alt="" width="375"><figcaption></figcaption></figure>

## 3. Action Commands

Action commands are commands that accomplish a specific task. They generally do not insert any text. Voice In supports the following action commands:

| **Command**                                                       | **Action**                                                                                                                              |
| ----------------------------------------------------------------- | --------------------------------------------------------------------------------------------------------------------------------------- |
| \<newline>                                                        | Insert a line break                                                                                                                     |
| \<newparagraph>                                                   | Insert a paragraph break                                                                                                                |
| \<paste>                                                          | Paste text from the clipboard                                                                                                           |
| \<undo>                                                           | Undo the last text insertion                                                                                                            |

| ----------- | ----------------------------------------------------------------------------------------------------------------------- |
| \<lang:\*> | Change language. Example \<lang:es-ES> to change to Spanish (Spain) (See section c below) |
| \<case:\*> | Change dictation case. Example \<case:upper> to use uppercase (See section d below) |
| \<click:\*> | Click a link or button with given text. (See section f below) |
| \<date>     | Insert current date                                                                                                     |
| \<date:\*>  | Insert current date and time in a specified format. Example: \<date:MM/dd/yyyy hh:mm a>. (See section g below)          |
| \<unset> | Use this to remove a built-in voice command. Example: period => \<unset> will remove the period built-in voice command. |

You can add a voice command mapping any phrase to the action commands listed above.

For example, a common dictation error when you say "new line" is "uline". To trigger a new line even when it is incorrectly dictated as uline, you can add the voice command:\
uline => \<newline>

<figure><img src="/files/JE1r2VhLMoshUC4JJOfa" alt="" width="375"><figcaption></figcaption></figure>

Some of the action commands are configurable. For example, you can add a voice command\
use spanish => \<lang:es-ES>\
to quickly change the dictation language to Spanish.

There are 5 configurable action commands \<open:\*>, \<press:\*>, \<lang\*>, \<case:\*> and \<deleteword:n>

### a. **\<open:\*>: open a new webpage**

Use this action command to open a webpage. Example:\
open google => \<open:[https://google.com>](https://help.dictanote.co/plus/https:/google.com>)

### b. **\<press:\*>: press keyboard shortcut**

Use this action command to trigger a key press.\
For example, in Gmail, the shortcut to send the email is ctrl + enter (cmd + enter on Mac). You can trigger this action using voice commands by adding a voice command "send mail" => \<press:ctrl+enter> (or \<press:cmd+enter> on Mac).

For more details, check the [Using Action Commands for Keyboard Shortcuts](/plus/action-commands-for-keyboard-shortcuts) article.

### c. **\<lang:\*>: change dictation language**

Use this action command to change the dictation language. Example:\
use spanish => \<lang:es-ES>\
use english => \<lang:en-US>\
The command requires the language code of the language. In the example above, en-US in the language code for English (United States). You can look up the language code for your language in [the list of languages supported by Voice In](https://dictanote.co/n/806053/).

<figure><img src="/files/2tvSieNseLVJDErR6yEk" alt="" width="375"><figcaption></figcaption></figure>

### d. **\<case:\*>: change dictation case**

Voice In supports transforming dictated text to a specific case. The five supported cases are default, lowercase, UPPERCASE, Sentence case, and Capitalize Each Word. Use this \<case:\*> action command to switch between them. Example:\
uppercase => \<case:upper>\
\
Possible values are \<case:default>, \<case:lower>, \<case:upper>, \<case:sentence>, \<case:capitalize> for default, lowercase, UPPERCASE, Sentence case, and Capitalize Each Word, respectively.

### e. \<deleteword:n>: delete last n words

Use this action command to delete the last n words. Example:\
delete last two words => \<deleteword:2>

Note that voice commands for delete last <2-20> words are already built-in for English. See the [English Built-In Voice Commands List](https://dictanote.co/voicein/voicecommands/en/).

### f. \<click:\*>: click link

Use this action to click a link or button on the page. Example:\
click submit ⇒ \<click:submit>

If there are multiple links/buttons with the given text, the first one with the text will be clicked.

### g. \<date:\*>: insert current date time

Use this voice command to insert the current date and time in a specified format. Example:\
insert date ⇒  \<date:MM/dd/yyyy hh:mm a>

The above command would insert the date as 05/15/2025 02:30 pm

The formatting options supported are:

```
yyyy: 4-digit year (e.g., 2023)
yy: 2-digit year (e.g., 23)
MM: 2-digit month with leading zero (e.g., 05)
M: Month without leading zero (e.g., 5)
dd: 2-digit day with leading zero (e.g., 09)
d: Day without leading zero (e.g., 9)
HH: 2-digit hour in 24-hour format with leading zero (e.g., 09)
H: Hour in 24-hour format without leading zero (e.g., 9)
hh: 2-digit hour in 12-hour format with leading zero (e.g., 09)
h: Hour in 12-hour format without leading zero (e.g., 9)
mm: 2-digit minutes with leading zero (e.g., 05)
m: Minutes without leading zero (e.g., 5)
ss: 2-digit seconds with leading zero (e.g., 08)
s: Seconds without leading zero (e.g., 8)
a: am/pm indicator in lowercase
A: AM/PM indicator in uppercase
```

### Using \<unset>

To remove a built-in voice command in Voice In, use the `<unset>` action in a custom command. For instance, if you want to remove the built-in voice command **"period"** that inserts a dot (.), you can create a custom voice command like this:\
**period ⇒ `<unset>`**

<figure><img src="/files/2zw9JEt5UY81sN2uGOf7" alt="" width="375"><figcaption></figcaption></figure>

You can find the list of built-in voice commands at [link](https://dictanote.co/voicein/voicecommands/).

## 4. Editing, Deleting and Alias

In the voice commands table, you can manage your commands with ease. Click the **edit** button to modify a command, or the **delete** button to remove it.

<figure><img src="/files/ihclIQ7SQAAiRaktMNol" alt="" width="563"><figcaption></figcaption></figure>

Sometimes a word may be mispronounced in various ways, or you might want the same action triggered by different phrases. Instead of creating separate commands for each variation, you can use the **Alias** feature. For example, if you say "ChatGPT," it might be interpreted as "check GPT" or "chat GPT." With aliases, create one command and add multiple pronunciation variants to it, ensuring the desired action is executed regardless of how it's spoken.

## 5. Common Use Cases <a href="#h_01g2jb24r2w421y206295cqdd5" id="h_01g2jb24r2w421y206295cqdd5"></a>

Here are some common use cases for custom voice commands. You can find more examples for various work domains at

### a. Correct common dictation errors <a href="#id-01hedjn5jpn9eyrcnby448f8j2" id="id-01hedjn5jpn9eyrcnby448f8j2"></a>

Voice In might misinterpret spoken words due to accents, inability to disambiguate, an uncommon word, or other factors.

For example, a user who works for a company named iPacket reported that when she dictated her company's name, it typed it as "eye packet". To fix this, she can add a custom voice command\
eye packet => iPacket\
This command instructs the software to replace "eye packet" with "iPacket" whenever it encounters the word.

Another example: a user said his child's name "Sathyam" always gets dictated as "Satyam". To fix this, he can add a custom voice command "Satyam" => "Sathyam". This command instructs the software to replace "satyam" with "Sathyam" whenever it encounters the word.

Two more examples:

1\. The user wants the word god always capitalized. To solve this, they can add a voice command "god" => "God". Now the word will be always be capitalized.

2\. A user wanted "colon" to be inserted as ":". To fix this, they can add a voice command "colon" => ":".

### b. Remove censorship/profanity filter. <a href="#id-01hedjng30mp5mezrm0swjq1cj" id="id-01hedjng30mp5mezrm0swjq1cj"></a>

By default, the browser's speech-to-text engine will censor curse words. You can use voice commands to reverse this. For example, you can add a custom voice command

s\*\*\* => suck

to remove censorship of that word.

See the [Creating a Voice Command](#h_01g2j8x6d8cdrm2ztrk2nw741n) section above for instructions on creating a voice command.

**\[NEW]** Voice In now has a built-in feature to disable the profanity filter for six languages. To enable this, go to the [Voice In Options page](https://dictanote.co/voicein/options/), scroll down to the Dictation Text Transforms section, and enable the "Disable profanity/adult words filter" feature.

### c. Avoid repetitive text entry using templates <a href="#id-01hedjnr2g1d58zrddrq1hewwd" id="id-01hedjnr2g1d58zrddrq1hewwd"></a>

For example, a salesperson would add a voice command

| thank you message | <p>Thank you for purchasing from XYZ Store.<br>Thanks,<br>ABC</p> |
| ----------------- | ----------------------------------------------------------------- |

A doctor who is doing a general checkup of a patient would add

| checkup text | <p>General/Constitutional:<br>overall health: unchanged<br>Chills: denies<br>Fever: denies<br>Night sweats: denies</p><p>Respiratory:<br>Cough: denies<br>Hemoptysis: denies<br>Shortness of breath: denies<br>Wheezing: denies</p> |
| ------------ | ----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |

This saves time with having to copy-paste this text block before every consultation.

### d. Replace ß with ss <a href="#h_01hepcr5z5hmwvd8765zv3s2sd" id="h_01hepcr5z5hmwvd8765zv3s2sd"></a>

Many German users (mainly users who use Swiss German) would want to use ß instead of ss in all dictated text. To achieve this, add a custom voice command mapping ß to ss. Set the match within a word flag to true.

# Action Commands For Keyboard Shortcuts

You can use action commands to trigger keyboard shortcuts.&#x20;

Define a custom voice command *phrase* => *\<press:\[shortcut]>*

For example:

1\) In Gmail, the shortcut to send the email is ctrl + enter (cmd + enter on Mac). You can trigger this action using voice commands by adding a voice command\
*send mail* => *\<press:ctrl+enter>* (or *\<press:cmd+enter>* on Mac)

<figure><img src="/files/tf7kkebtSm4JmouggT9x" alt="" width="375"><figcaption><p>Adding voice command for send mail</p></figcaption></figure>

2\) In ChatGPT, you can use *press enter => \<press:enter>* to submit the message

3\) You can trigger a line break in an editor by defining a voice command\
*line break* => *\<press:shift+enter>*

***Note:** Currently, the key presses triggered by this feature cannot be used to activate Chrome browser shortcuts. For example, ctrl+w will not close the tab. If you wish to close the current tab, use the \<closetab> voice command.*&#x20;

***Note:*** Chrome shows a "Voice In started debugging this browser" message when you use an action command to trigger a keyboard shortcut. This is because Voice In needs the debugger to emulate the keyboard. You can ignore this message. You can also configure Chrome to hide the bar if it bothers you by following the instructions in the article linked below:

{% content-ref url="/pages/oGeTamsNbu7RTWpyzuZy" %}
[Hiding the "Voice In started debugging this browser" Message](/help/general/hiding-the-voice-in-started-debugging-this-browser-message)

# Configure Webhook

Use webhooks to integrate AudioScribe with your work tools like CRMs.

Webhooks are a powerful tool to automate your workflows, integrating various applications to streamline your tasks. Audio Scribe harnesses this capability, enabling you to create notes in Audio Scribe and then dispatch these to your preferred work applications—be it capturing meeting summaries into CRM systems like Salesforce or channeling notes into project management tools like Notion.&#x20;

This guide will delve into two methods to configure a webhook for Audio Scribe: using Zapier and setting up a direct webhook integration.

{% hint style="info" %}
This feature is only available with AudioScribe Pro
{% endhint %}

### Method 1: Utilizing Zapier for Integration <a href="#h_01hrmw26b3h6tvmma9nk0g823f" id="h_01hrmw26b3h6tvmma9nk0g823f"></a>

[Zapier](https://zapier.com/) acts as a bridge, connecting over 3,000 apps without the need for coding. It enables you to create automated sequences, known as Zaps, which trigger actions in other apps based on events in Audio Scribe. Here's how you can set this up:

#### Step 1: Accept the Zapier Invite <a href="#h_01hrmw26b3f45xzfdmwyf3fv6a" id="h_01hrmw26b3f45xzfdmwyf3fv6a"></a>

To start, you'll need to accept an exclusive invitation for Audio Scribe users. Follow this invite link to Zapier: <https://zapier.com/developer/public-invite/196894/fdb4dff41e342fa2dbdfffd05e63d43e/>

This link grants you access to the pre-configured integration with Audio Scribe within Zapier's ecosystem.

#### Step 2: Create a Zap <a href="#h_01hrmw26b3mw5ma9d91q26sgvv" id="h_01hrmw26b3mw5ma9d91q26sgvv"></a>

Once you're in Zapier:

* Click on "Make a Zap".
* In the search bar, type and select "Dictanote" as the trigger app.
* Choose the specific trigger event from Audio Scribe, such as "New Note Created".
* Follow the prompts to sign in to your Audio Scribe account and authorize Zapier to access it.
* Next, select the action app where you want your notes to be sent (e.g., Notion, Salesforce).
* Choose the specific action within that app, like creating a new document or adding a new record.
* Map the fields from Audio Scribe to the corresponding fields in your chosen app, ensuring the data is transferred correctly.
* Test your Zap to make sure it works as expected.

#### Step 3: Activate Your Zap <a href="#h_01hrmw26b36wghfb261573gea8" id="h_01hrmw26b36wghfb261573gea8"></a>

After testing, give your Zap a name and turn it on. Now, every time the trigger event occurs in Audio Scribe, the action you configured will automatically happen in your chosen app.

### Method 2: Direct Webhook Configuration <a href="#h_01hrmw26b3qr8x0tmsb61r723f" id="h_01hrmw26b3qr8x0tmsb61r723f"></a>

For those who prefer a more hands-on approach or need custom integrations not available through Zapier, Audio Scribe supports direct webhook integrations. This method involves sending HTTP POST requests to a specified URL whenever a new note is created or an event occurs.

#### Step 1: Consult the Webhook Documentation <a href="#h_01hrmw26b31j26z6qab0vmxfsz" id="h_01hrmw26b31j26z6qab0vmxfsz"></a>

You can start by reviewing the webhook documentation at <https://dictanote.co/audioscribe/docs/>. This documentation provides detailed information on the webhook format, expected responses, and security considerations.

#### Step 2: Provide Your Webhook URL <a href="#h_01hrmw26b3dd82wj2m6acsp2w1" id="h_01hrmw26b3dd82wj2m6acsp2w1"></a>

You'll need to create a webhook URL endpoint on your server that can receive HTTP POST requests. This endpoint should be capable of processing the data sent by Audio Scribe. Once your endpoint is ready, send your webhook URL to Audio Scribe's support team at <support@dictanote.co>.

#### Step 3: Test and Use Your Webhook <a href="#h_01hrmw26b302mbs8zmkh5kh3c8" id="h_01hrmw26b302mbs8zmkh5kh3c8"></a>

After your webhook URL is registered with Audio Scribe, test it by creating a new note. You should receive a POST request with the note data at your webhook URL. Now, you can process this data as needed, integrating it into your systems or workflows.

### Conclusion <a href="#h_01hrmw26b3hyjgw6ddx4c9fpw3" id="h_01hrmw26b3hyjgw6ddx4c9fpw3"></a>

By configuring a webhook for Audio Scribe, you unlock the potential to automate your note-taking process and seamlessly integrate it with your existing apps and workflows. Whether you choose the ease of Zapier or the customizability of a direct webhook integration, you're steps away from a more efficient and connected digital workspace.

# Troubleshooting & Support

## Troubleshooting

We're here to help you get the most out of AudioScribe. If you encounter any issues, check out these common troubleshooting tips:

### Microphone Access

**Problem:** "AudioScribe can't access my microphone."

**Solutions:**

This issue usually stems from microphone permissions being blocked either in your browser or your operating system settings.

* **Browser Permissions:**
  1. Go to **Chrome Settings** (three vertical dots in the top right corner).
  2. Click on **Privacy and security**.
  3. Select **Site Settings** > **Microphone**.
  4. Ensure that your browser is allowed to ask for microphone access and that Voice In is not blocked.
  5. If you see Voice In in the "Blocked" section, click on it and change the setting to "Allow".
* **Operating System Permissions:**
  * **Windows:**
    1. Go to **Settings** > **Privacy** > **Microphone**.
    2. Make sure "Allow apps to access your microphone" is turned on.
    3. Also, ensure that "Allow desktop apps to access your microphone" is turned on.
  * **macOS:**
    1. Go to **System Preferences** > **Security & Privacy** > **Privacy** > **Microphone**.
    2. Make sure the checkbox next to your browser (e.g., Chrome, Firefox, Safari) is ticked.

### Transcription Issues

**Problem:** "Transcription is inaccurate or nonsensical."

**Solutions:**

* **Interfering Audio:** Ensure that no other tabs or applications are playing audio while you're recording. Even if the audio source is temporarily muted, it can still interfere. Pause any music, videos, or other audio sources before starting your AudioScribe recording.
* **Audio from the same device:** AudioScribe is not designed to listen to audio coming from the same device that you're recording from. For instance, if you try to play a YouTube video on your laptop, and run AudioScribe on your laptop itself, the result will be a load of gibberish. If you really want AudioScribe to record pre-recorded audio, you can play it from a different device and have AudioScribe listen to it.
* **Wireless Headsets:** Sometimes, the microphone on your wireless headset might not be active. In this case, your device (phone or laptop) might be using its built-in microphone, which could be too far away to capture your voice clearly. Try disconnecting and reconnecting your headset, or test with a wired microphone.

**Problem:** "AudioScribe only transcribed part of my recording."

**Solution:**

* **Screen Turning Off (Mobile):** If you're using AudioScribe on a mobile device and your screen turns off during recording, your browser might lose microphone access. To prevent this, adjust your phone's screen timeout settings to keep the screen on while recording. Alternatively, consider using a dedicated app if one becomes available for AudioScribe in the future.

**Problem:** "AudioScribe is taking too long to transcribe."

**Solutions:**

* **Refresh the Page:** If the transcription seems to be stuck or taking an unusually long time, try refreshing the page where you're using AudioScribe.
* **Retry Feature:** After refreshing, you might see an option to "Retry Transcription" within the AudioScribe interface. Click this to re-attempt the transcription process.

### Pro Account Issues

**Problem:** "I upgraded to AudioScribe Pro, but my account still shows as free."

**Solution:**

* **Give it a minute:** Sometimes, it can take a few moments for your account to be automatically upgraded after purchase. Please wait for a minute and refresh the page.
* **Check your login:** Make sure you were logged into your Voice In account during the upgrade process. If you upgraded while logged out, the Pro features might not have been applied to your account.
* **Contact Support:** If it hasn't happened after a minute and you were logged in, get in touch with us.

### **Step 1: Internet Check**

* Ensure your internet is working properly.
* If you are using a VPN or firewall, disable it and check if Voice In starts working.
* If the issue persists, continue to **Step 2**.

### **Step 2: Microphone Check**

One of the most common reasons Voice In doesn’t work is that no audio input is detected from your microphone. This can happen if:

* You have multiple microphones connected, and the wrong microphone is selected.
* The microphone is muted.
* A wireless headset (e.g., AirPods) is being used on another device.

**Check Microphone Settings on Windows:**

1. **Open Sound Settings:**
   * Click the **Start menu** and select **Settings**.
   * Navigate to **System → Sound**.
2. **Select the Correct Microphone:**

   * Under **Input**, ensure the correct microphone is selected.
   * Check if the microphone is muted:
     * If you see a microphone icon with a slash, click it to unmute.&#x20;

   <figure><img src="/files/sAgusbW2dqMIZTkKdM7k" alt="" width="563"><figcaption><p>Microphone muted example</p></figcaption></figure>

   * Speak into the microphone and check if the input level indicator moves. This means your microphone is working correctly.

**Check Microphone Settings on  macOS:**

1. **Open Sound Preferences:**
   * Click the **Apple menu** and go to **System Settings**.
   * Select **Sound.**
2. **Select the Correct Microphone:**
   * In the **Input** tab, choose your microphone.
3. **Test the Microphone:**
   * Speak into the microphone.
   * If the input level indicator moves, your microphone is working.

### **Step 3: Check Voice In Microphone Selection**

After verifying the correct microphone is selected at the system level, verify that Voice In is using the same microphone.

1. **Open the Voice In Options page.**
   1. Go to the [Voice In Options page](https://dictanote.co/voicein/options/)
   2. Under the **General** section, look for the line starting with **“Current Microphone:”**.&#x20;
   3. If no microphone is listed, Voice In cannot access a microphone.
   4. Ensure a microphone is plugged in and recheck your system’s sound settings.

<figure><img src="/files/EgktuG6xn2vK0vYKJDTy" alt=""><figcaption></figcaption></figure>

2. **Verify Microphone Selection in Chrome:**
   1. Open a new Chrome tab and enter:

      ```
      chrome://settings/content/microphone
      ```
   2. Ensure the correct microphone is selected at the top.
3. **Test Your Microphone Online:**
   1. Use an [online mic test](https://www.onlinemictest.com/) to test.
   2. The line there should move when you speak.

If your microphone is working but Voice In still doesn’t function, proceed to **Step 4**.

### **Step 4: Speech To Text Check**

Go to the [standalone dictation test page](https://dictanote.co/simple/). Click on the microphone icon at the top-right corner of the text area and dictate.\
\
If the speech recognition doesn't work on the standalone page, the issue is with the browser's speech-to-text API. This might be a temporary issue, try again in a few hours. If it still doesn't work, look at the [Hard Reset section](#last-case-scenario-hard-reset).<br>

If you can dictate on the standalone page, Voice In should work. Open the[ Voice In Notepad.](https://dictanote.co/voicein/notepad/) Start Voice In. Make sure Voice In is activated.<br>

![](/files/spMrdYjVUvSxhpS7ehDe)\
&#x20;   Activated

\
![](/files/IaXwkiChAr0iWrYe97ip)\
&#x20;  Deactivated<br>

The extension icon should be red. If you don't see the icon, see the No Icon section below. Try dictating into the notepad. If Voice In doesn't work on this page, please [contact us](https://forum.dictanote.co).

**Note:** Voice In doesn't work on some pages like Chrome Web Store, the default new tab page, and other extensions pages for security reasons.&#x20;

## 2. Not Working - Live transcript shows what I speak, but no text is inserted <a href="#live-transcript-shows-what-i-speak-but-commands-don-t-work" id="live-transcript-shows-what-i-speak-but-commands-don-t-work"></a>

Make sure you have placed the cursor in the textbox. Voice In requires an active cursor to insert text.

Some sites like Salesforce, Zendesk, SimplePractice, etc. require the Voice In Plus upgrade in order to work. You can check the list of sites that need the Plus upgrade at <https://dictanote.co/voicein/apps/>

&#x20;Upgrade to Voice In Plus at <https://dictanote.co/voicein/plus/>

### Last case scenario - hard reset <a href="#last-case-scenario-hard-reset" id="last-case-scenario-hard-reset"></a>

Sometimes, you want to start from scratch. Here are a few things to try in order of increasing destructiveness. If you have no problem losing all your settings, and being logged out you can skip right ahead to "B".

A. Restart Google Chrome. There is usually no need to reboot your computer unless you have a microphone driver issue.

B. Uninstall and reinstall Voice In. Consider this a last resort.

&#x20;

## 3. No Voice In Icon <a href="#h_01h12d64a8d8tw8x7w3x05cdc8" id="h_01h12d64a8d8tw8x7w3x05cdc8"></a>

Extension icons start out hidden. You need to Pin the extension icon to see it in the toolbar. Here's how you can have the Voice In microphone icon show in the toolbar again:

1. Click <img src="/files/cOVYsjTrJvOBoJIQUT50" alt="" data-size="line"> to the right of the address bar.
2. Click <img src="https://cdn.dictanote.co/media/img/visetup/pin.png" alt="" data-size="line"> next to Voice In.

This will add the Voice In button (<img src="https://cdn.dictanote.co/media/img/visetup/ic_mic_black_36dp.png" alt="microphone" data-size="line"> icon) to the address bar.

See the [Getting Started page's Pin Voice In](https://dictanote.co/voicein/getting-started/#pin) section for a demo video.

## 4. Not Working on Local Files (e.g. locally saved PDFs) <a href="#h_01h12d6hnbx08x2pvvb5znmtdk" id="h_01h12d6hnbx08x2pvvb5znmtdk"></a>

To use Voice In on a locally saved file (PDF or HTML), you first must grant an additional permission.&#x20;

**Steps**

1. Go to `chrome://extensions`&#x20;
2. Click "details" under Voice In.
3. Enable "Allow access to file URLs".

<figure><img src="/files/dk9Z5q7WYUjAezPYfWaJ" alt="" width="563"><figcaption></figcaption></figure>

## 5. Additional Steps for Dictation in Google Apps (Gmail, Sheets, Slides, etc.) <a href="#additional-steps-for-dictation-in-google-apps-gmail-sheets-slides-etc" id="additional-steps-for-dictation-in-google-apps-gmail-sheets-slides-etc"></a>

Due to a [bug in Chrome](https://bugs.chromium.org/p/chromium/issues/detail?id=885025), dictation might not fully work on Google Apps such as Gmail, Sheets, Slides, and Docs.

**Steps**

1. Go to `chrome://apps` in your address bar.
2. Right-click and click "Remove from Chrome" for the following apps:
   * Gmail
   * Slides
   * Docs
   * Sheets
   * Drive

# How to activate Voice In Plus on a new computer/profile?

Voice In Plus is licensed per user, so you can use it on multiple devices and browser profiles. However, you need to manually activate Voice In Plus once for each unique browser (a unique browser refers to a new browser instance on a different machine or profile).

### To activate Voice In Plus on a new computer or profile:

**Step 1:** Ensure you have [Voice In Chrome extension](https://chrome.google.com/webstore/detail/voice-in-voice-typing/pjnefijmagpdjfhhkpljicbbpicelgko?hl=en) installed on the new machine/profile. Voice In works on both the Chrome and Edge browsers on PC/Mac/Linux/ChromeOS.&#x20;

**Step 2:** Open the [Voice In Plus activation page](https://dictanote.co/voicein/plus/activate/) in the new machine/profile.\
\
If this is your first time visiting the activation page on this browser, you’ll be redirected to log in. Use the same account you used to upgrade to Voice In Plus (typically your Google account, click **"Continue with Google"** and sign in).

<figure><img src="/files/PWdeYcKRGPxc4RGROV2L" alt="" width="563"><figcaption></figcaption></figure>

**Step 3:** After logging in, you should automatically be redirected to the Voice In Plus activation page (<https://dictanote.co/voicein/plus/activate/>).&#x20;

Your should see a page like below:

<figure><img src="/files/pt46kaRLlYvV84kheCDT" alt=""><figcaption></figcaption></figure>

That’s it! Voice In Plus is now activated on your browser.

You can verify this by visiting the [Voice In Options page](https://dictanote.co/voicein/options/). You should see a message saying, "You have **Voice In Plus** activated."

### No Voice In Plus Upgrade Found?

If you see a message saying **"No Voice In Plus upgrade found"** but you do have an active subscription, it usually means you're logged into the wrong account.

To fix this:

1. Click on **My Account > Sign Out**
2. You’ll be redirected to the login page. Log in using the correct account—the one you used to purchase Voice In Plus.
3. Revisit the [Voice In Plus activation page](https://dictanote.co/voicein/plus/activate)

<figure><img src="/files/7oZqeOlG76PKqVEWrjmh" alt=""><figcaption></figcaption></figure>

# Features

# How to enable dictation on local file URLs?

By default, Chrome does not allow extensions to interact with file URLs for security reasons. To enable Voice In extension to work with local files (files stored on your computer), you can manually permit the extension to do so. Here's how you can enable this feature:

1. Open the Chrome browser on your computer.
2. Right-click on the Voice In button and click on "Manage Extension"

   <figure><img src="/files/9ZG2NBamkVRZFrqwu8AL" alt="" width="450"><figcaption></figcaption></figure>
3. Scroll down to find the “Allow access to file URLs” toggle switch.<br>

   <figure><img src="/files/nRvVkXBOT1FJwHWdyVoR" alt=""><figcaption></figcaption></figure>
4. Click the toggle switch to enable it. If the toggle turns blue, it means Voice In is now allowed to interact with local files.

<br>

# How to use Voice In on the new tab page?

By design, the browser does not allow Chrome extensions to interact with the default new tab page. As a result, Voice In does not work on the default new tab page in Chrome and Edge.

**There is a simple fix for this: Change the new tab page**

The challenge is that Chrome doesn't let you change the new tab page. It lets you change the page that opens on startup but not the new tab page. To solve this problem, we have introduced a new free extension called [Custom New Tab](https://chrome.google.com/webstore/detail/custom-new-tab/lfjnnkckddkopjfgmbcpdiolnmfobflj?hl=en)&#x20;

Custom New Tab is a Chrome extension that lets you configure the new tab page to a custom URL. You can set it to to open Google ([https://google.com](https://google.com/)), Bing ([https://bing.com](https://google.com/)), or better yet set it to the Voice In Testpad (<https://dictanote.co/voicein/notepad/>). It is a tiny 50kb extension, 100% free and without tracking.

### Instructions to set up a custom new tab &#x20;

**Step 1**: Install the Custom New Tab extension from the Chrome Web Store: [Web Store Link](https://chrome.google.com/webstore/detail/custom-new-tab/lfjnnkckddkopjfgmbcpdiolnmfobflj?hl=en)&#x20;

<figure><img src="/files/rSvnXjIdWEKbD3lh0SGX" alt="" width="563"><figcaption></figcaption></figure>

Click on "Add to Chrome" to install it.&#x20;

**Step 2**: After installation, a page will open up, asking you to configure the new tab URL. Enter your desired new tab page URL.&#x20;

Enter [https://google.com](https://google.com/) to set it to Google, [https://bing.com](https://google.com/) for Bing, or better yet <https://dictanote.co/voicein/test/> to set it to Voice In Testpad. Click Save to save this setting.

<figure><img src="/files/2CFz0z1AdAGAG6vTGDpL" alt="" width="563"><figcaption></figcaption></figure>

That's it. Your new tab page will now point to this new URL, and you can use Voice In on it!&#x20;

### Set the new tab URL to a local file URL

You can point the new tab to a local file URL too.&#x20;

A local file URL looks like `file:///C:/Documents/test.html` on Windows `file:///Users/anil/test.html` on Mac. To get the local file URL of a file on your system, open the file in a new tab in your browser. Then copy the URL shown in the address bar.&#x20;

The first time you set the custom new tab URL to a local file URL, you will be see a prompt to grant permission like below. Click on **Grant Permission**.&#x20;

<figure><img src="/files/UhcaKG0dolcNIAFVbn1I" alt=""><figcaption></figcaption></figure>

This will open the extension's settings page. Scroll down to "Allow access to file URLs" setting and enable it.&#x20;

<figure><img src="/files/QDtoiprpggRnjEoChBit" alt=""><figcaption></figcaption></figure>

The extension should now be able to set the new tab page to your local file.&#x20;

### Disable Custom New Tab

If you ever want to revert back to built-in Chrome new tab page, you can do so by disabling the Custom New Tab extension.

To disable the custom new tab extension

1. Open the URL chrome://extensions in a new tab. &#x20;
2. Disable the Custom New Tab extension

<figure><img src="/files/WhomtYSpdCRCnMY7R4vw" alt=""><figcaption></figcaption></figure>

# What is Advanced Mode?

Voice In takes the user's audio input, converts it into text, and then inserts it into the web page. By default, Voice In uses the **Default Mode** to insert text into the web page. Default mode works on sites with a simple textbox, like Gmail. &#x20;

However, the default mode does not work on some sites like Facebook. On Facebook, your status message text can contain person mentions, hashtags, etc. For this reason, Facebook uses complex logic to handle text input and display. This makes it non-trivial for Voice In to insert transcribed text.

To work around this issue, we developed **Advanced Mode**.

Advanced Mode is only available with [Voice In Plus](https://dictanote.co/voicein/plus/).&#x20;

Advanced mode uses a more robust text insertion strategy that lets you use Voice In on a significantly larger number of sites. Advanced mode is used by default when you have Voice In Plus.&#x20;

Advanced mode enables dictation on many popular sites like Twitter, Skype, Facebook, Google Keep, Hubspot, Google Meet, Notion, etc. Check out the [list of sites on which advanced mode](https://dictanote.co/voicein/apps/) enables dictation.

To see the difference Advanced Mode makes, check out the video below that shows dictation on Facebook using Voice In without and with Advanced Mode:

# Keyboard Shortcuts

Voice In supports the following keyboard shortcuts.

| Start / Stop Dictation | ALT+L        |
| ---------------------- | ------------ |
| Switch to Language 1   | CTRL+SHIFT+1 |
| Switch to Language 2   | CTRL+SHIFT+2 |
| Switch to Language 3   | CTRL+SHIFT+7 |

You can change these shortcuts by going to the [Voice In Options page](https://dictanote.co/voicein/options/) and scrolling down to the keyboard shortcuts section.

# Dictating numbers

Voice In intelligently discerns whether to transcribe numbers as digits or text based on the context of your dictation. For instance, saying "one" might result in either "1" or "one" being typed out, depending on the surrounding text.

## Forcing Digits in Dictation

The adaptive feature may not always align with your needs, especially if your dictation involves significant numerical dictation. Voice In offers a solution through its "Force numbers to be spoken as digits" option (only available in English). This ensures that numbers 0-9 are always transcribed as digits.&#x20;

### How to Enable

1\. Open the [Voice In Options page](https://dictanote.co/voicein/options/).

2\. Navigate to the **Dictation Text Transforms** section.

3\. Check the **Force numbers to be spoken as digits** option to activate.

## Dictating Larger Numbers

When it comes to dictating longer numerical sequences such as "forty thousand two hundred," Voice In typically defaults to spelling out the numbers. To circumvent this and ensure numerical dictation:

\- Break down the number into its individual digits.&#x20;

\- For example, instead of saying "forty thousand two hundred," dictate "four zero two zero zero."

By following these guidelines, Voice In will accurately capture and transcribe lengthy numbers in your preferred format.

### Voice Commands

You can also add voice commands to transcribe certain numbers to digits. For example, you can add the voice command `ten` => `10`. This ensures that everytime you say `ten`, it inserts `10`. Refer to the custom voice commands guide for instructions on how to add a custom voice command.

# Remove Censorship/Profanity Filter

By default, the browser's speech-to-text engine will censor curse words. However, for users who prefer or need uncensored transcriptions, there is a way to reverse this filtering.

### Disabling the Profanity Filter

Voice In now offers a built-in feature to disable the profanity filter for seven different languages. This enhancement allows users to have more control over the text generated by the speech-to-text engine, ensuring that no words are unnecessarily censored. This feature is built on-top of custom voice commands.

To enable the feature that disables the profanity filter, follow these steps:

1. Open the [Voice In Options Page](https://dictanote.co/voicein/options/)
2. Once on the Options page, scroll down until you find the "Dictation Text Transforms" section.
3. Within the Dictation Text Transforms section, look for the option labeled "Disable profanity/adult words filter." Toggle this feature to enable it.

<figure><img src="/files/etER4LcIjDjvJwBSkhIC" alt=""><figcaption></figcaption></figure>

Languages supported:&#x20;

```vue
English, German, Tamil, Greek, Danish, Czech and Spanish
```

You can find the full list of words that this feature removes censorship on at <https://cdn.dictanote.co/media/voicein/profanity-filter.txt>

### Using Voice Commands to Reverse Censorship

The disable profanity filter is built using custom voice commands. It contains a pre-built list of words that it removes censorship on. &#x20;

In addition to disabling the profanity filter, you can use custom voice commands to reverse censorship of more words that the profanity filter doesn't handle.&#x20;

For example, you can create a custom voice command:

* `s*** => shit`

This command ensures that when you say the word `shit`, it will be transcribed as the intended uncensored word instead of `s***`

You can create any number of voice commands. It is a one-time activity and&#x20;

To learn how to create a voice command, refer to the "Creating a Voice Command" in the custom voice commands guide.

# How to disable built-in voice commands?

Voice In comes with built-in voice commands for common tasks like punctuation and performing actions like inserting a new line in 25+ languages.

To disable built-in voice commands, you can use one of the two options below:

## Option 1: Disable all built-in commands

To disable all built-in voice commands

1. Go to the [Voice In Options page](https://dictanote.co/voicein/options/)
2. Scroll down to the Voice Commands section and check "Disable built-in voice commands" checkbox

<figure><img src="/files/xqAoKImGQxAtZwKs7yjb" alt=""><figcaption></figcaption></figure>

## Option 2: Disable individual voice commands

You can use the `<delete>` command to delete individual built-in voice commands.

For example, say you want to delete the built-in voice command `question mark => ?`, i.e., when you say `question mark`, you don't want it to insert `?`. You can add a custom voice command `question mark => <delete>` . This will remove the built-in voice command.

<figure><img src="/files/RlNmvGAtLw8jQlyv8Wsg" alt="" width="375"><figcaption></figcaption></figure>

Refer to the Custom Voice Commands guide below to learn how to add a custom voice command.

{% endcontent-ref %}

# How to spell an uncommon word?

Sometimes, Voice In may struggle to transcribe uncommon words, such as a company's name. In these cases, you can dictate the word by spelling it out, one letter at a time.&#x20;

For example, to type "candy," say each letter quickly: "C-A-N-D-Y."

To capitalize the first letter, say: "Capitalize next C-A-N-D-Y," and it will type "Candy."

Note: Capitalize next is a [voice command in English](https://dictanote.co/voicein/voicecommands/en/). If you are not dictating in English, use the equivalent in voice command for that language.

If you use this uncommon word frequently, create a voice command for it. Refer to the Custom Voice Commands linked below for how to create a custom voice command.

# How to enable Direct Insert?

In this article, you’ll learn how to enable and disable **Direct Insert** in Voice In.&#x20;

Some websites automatically remove or alter spaces that Voice In adds before your dictated text, causing phrases to run together—e.g., turning “Hello world” and “how are you” into “Hello worldhow are you.” **Direct Insert** bypasses this interference by placing text directly at your cursor’s location. We recommend only enabling Direct Insert if you notice spaces disappearing between separately dictated phrases. Otherwise, leave it turned off.

## Enabling Direct Insert <a href="#enabling-disabling-advanced-mode" id="enabling-disabling-advanced-mode"></a>

Before you begin, ensure you have not hidden the Voice In page pop-up. If you have hidden it, follow the instructions on the page below to unhide it.

{% content-ref url="/pages/puGTHg1JLn1IKWbRp5Iz" %}
[How to hide/show the Voice In page pop-up?](/help/features/how-to-hide-show-the-voice-in-page-pop-up)
{% endcontent-ref %}

Click on the Voice In icon on the address bar to start dictation.

<figure><img src="/files/QHHFKeNhNVl38bXOYbaS" alt="" width="292"><figcaption></figcaption></figure>

The page should display a Voice In settings button. Click on the button, and a settings window will open.

<figure><img src="/files/4pjkFb3ej3QGzl1lXgAn" alt="" width="375"><figcaption></figcaption></figure>

Under Advanced, you will find the Enable Direct Insert setting. Select the checkbox to enable Direct Insert on the current website, or uncheck it to disable it.&#x20;

Once you enable/disable, refresh the page to apply the setting.

# General

# Why is Voice In disabled on certain websites ?

For security reasons, the Chrome and Edge browsers do not allow Chrome extensions (including Voice In) to work on a small number of pages:&#x20;

* Chrome Webstore (<https://chrome.google.com/webstore>/)
* Edge Extension Store (<https://microsoftedge.microsoft.com/addons/>)
* Internal pages like new tab (chrome://newtab). These pages have URLs starting with chrome:// or edge://.

You can use Voice In on all other sites, including [Google](https://www.google.com/),[ YouTube](https://www.youtube.com/),[ Gmail](https://mail.google.com/), or [any other site](https://dictanote.co/voicein/apps/).

To use Voice In on the new tab page, check out the how to use Voice In on the new tab page guide.

# Is Voice In HIPAA compliant?

Voice In is built with privacy in mind.&#x20;

Modern browsers provide speech-to-text APIs. These APIs take in raw audio and returns raw transcribed text.&#x20;

Voice In uses the browser's speech-to-text API to transcribe text. On Chrome it uses Chrome's speech-to-text API, on Edge it uses Edge's API. By design, all of your audio is transcribed by your browser. **No audio data or the resulting transcripts are sent to Dictanote's server.**&#x20;

Here’s all the data we need in order to make Voice In work:

* Your email address to identify your account (optional)
* If you are a paying customer, a payment\_token from Stripe/Paypal linking to your subscription payment details and voice commands (stored so you can access them from other machines).

Many 1000s of medical professional use Voice In every day to voice type in sites like Teladoc, Athena Health, many EHRs and EMRs, clinical note taking apps, etc.

We have never offered HIPAA business associates agreement before as we do not control the core speech-to-text function which the browser (Chrome/Edge) provides.

# How to use Voice In in a popup window?

A common question we get is how to use Voice In inside a popup window. Popup windows are unique as they are outside the context of the main browser window and do not see the Voice In extension button. As a result, you cannot click on the microphone icon or use the keyboard shortcut to start Voice In.&#x20;

<figure><img src="/files/02eWDiukzyRJkAvfvT4X" alt="" width="563"><figcaption></figcaption></figure>

However, there is a very simple way to use Voice inside a popup window. Simply right-click in the text box and click on "Start Recording," as shown above. That should start speech recognition.&#x20;

# What permissions does Voice In extension require?

Voice In extension is built with privacy in mind. Its only purpose is to let users type using their voice across their favorite websites within the browser.

Below are all the permissions that the extension uses:&#x20;

1\) **Host permission**

The extension injects a single content script page.js that enters the user-dictated text into the input text field or content editable div in the page. The content script also adds option buttons to help with dictation that are only displayed on browser action or click-in context menu. There are three buttons: The settings button - which lets the user change the dictation language and change language shortcuts; the dictation box, which is a text area; and a help message displayed on some sites where the extension doesn't work. It uses GA to track the success or failure of dictation on any particular website.

2\) **Debugger permission**

Users can configure custom voice commands to do key presses. For example, \<press:enter> command => press enter key. The debugger is used only to simulate keypress and only when the user configures one.

3\) **Clipboard read/write permission**

Voice In lets users dictate text using their voice. We use the clipboard in two places:\
1\) We have a mode called paste mode where dictated text is copied to the clipboard and then paste is used to add it to the cursor location\
2\) We provide a box called a dictation box. The dictation box is a textarea used to type on sites where Voice In doesn't work by default. You can dictate all the content into the dictation box and copy the text out to the target box in the end without having to leave the site. We have voice commands that let users copy the contents of the dictation box to the clipboard and then paste them.

Note: the extension does not send any user information to any external server

4\) **Context menu permission**

On content editable divs and text areas, Voice In adds a shortcut to start/stop audio recording in the right-click menu (referred to as the context menu). It is simply a shortcut to trigger the extension.

# Using Voice In for voice typing in Google Docs

Google Docs rendering is unique in that it doesn't use HTML-based rendering. It uses a canvas-based rendering method. This makes it impossible for Chrome extensions like Voice In to see what text exists before the cursor location. Google Docs blog post on this <https://workspaceupdates.googleblog.com/2021/05/Google-Docs-Canvas-Based-Rendering-Update.html>

You can place your cursor in your Google Doc and dictate using Voice In. However, as Google Docs uses an opaque document structure, Voice In cannot see where your cursor is on the page. As a result, it may get the text formatting, such as capitalization or word spacing, wrong. Also, commands like `delete word` won't work on Google Docs.

**Note that this issue happens only on Google Docs / Slides. Voice In works perfectly well on other sites.**&#x20;

Here are three workarounds you can use for voice typing:

### 1. Use Dictation Box

<figure><img src="/files/pru7QgRYBVn433yYciby" alt="" width="375"><figcaption></figcaption></figure>

To use all the features of Voice In, type your text into the dictation box. Enable the dictation box. Then, place the cursor in the dictation box and dictate normally. Once you are done, you can copy/cut the content into Google Docs. For more information, refer to:

{% content-ref url="/pages/F3YElfDDfWIk3TMm57sH" %}
[How to enable and disable Dictation Box?](/help/features/how-to-enable-and-disable-dictation-box)
{% endcontent-ref %}

### 2. Use the Voice In Notepad

You can use the [Voice In Notepad](https://dictanote.co/voicein/notepad/) at <https://dictanote.co/voicein/notepad/> to type and format text. The Voice In notepad is a Word-like editor that supports all the basic formatting options. Once you have voice typed your note in the notepad, then copy paste it into Google Docs or any other site/external application.&#x20;

### 3. Use the built-in voice typing tool

Use Google Docs' built-in voice typing tool. Go to Tools > Voice Typing to enable it. This feature is built into Google Docs. Note that you cannot use your custom voice commands with this tool.&#x20;

# Make your web app Voice In compatible

*Note: This is a technical guide meant for developers*

The Voice In Chrome extension lets users use their voice to type on a website. Voice In can be used to dictate into the following HTML elements:

1. input fields \<input>
2. content editable e.g. \<div contenteditable="true" >
3. textarea \<textarea>

If the input box you want your users to dictate into conforms to one of the three above, Voice In should work by default.

If Voice In is not working on your web page, here are common reasons why:

1. **Not a Live Page:** Voice In Chrome extension only gets inserted into pages that have URLs starting with http\:// or https\:// **.** Voice In will not work on the new tab page, chrome internal pages / other Chrome extension pages (these will have URLs starting with chrome://), and on pages starting with file:// . One exception to the rule is the Chrome Webstore. Voice In also doesn't work in the Chrome Webstore - no extension works on the Chrome Webstore.
2. **Input handling:** If you use Javascript to modify the inserted user input, Voice-in text insertions may not work. To work around this, consider listening to the change event instead of keyboard events like *keydown*.
3. **Paste handling:** Voice In's advanced mode requires the ability to paste in the page via Javascript. Voice In correctly formats the text. To prevent the underlying page from interfering, we do something like window\.addEventListener('paste', (e) => {if (recognizing) {e.stopImmediatePropagation();}}, true); Make sure your page doesn't rely on receiving the paste event.
4. **IFrame:** If your webpage loads the input textbox via an iframe and the iframe is loading from a different host, then the Chrome extension will not be able to access the textbox due to content security policies. You can either load the input textbox directly without an iframe or, alternatively, enable cross-origin access to your iframe. Read more [here.](https://developer.mozilla.org/en-US/docs/Web/Security/Same-origin_policy)

# Hiding the "Voice In started debugging this browser" Message

Chrome shows "Voice In started debugging this browser" in a message bar because Voice In needs to emulate the keyboard in some cases. You can configure Chrome to hide the bar if it bothers you:

## Windows <a href="#windows" id="windows"></a>

<figure><img src="/files/JKtAW0Iz7eHyYC28I6nO" alt=""><figcaption></figcaption></figure>

1. Right click the icon from where you launch Chrome - whether it be the task bar, Desktop, or the programs menu (you will need to follow these instructions for each shortcut you use).
2. Click properties
3. Add `--silent-debugger-extension-api` after `.../chrome.exe"` (**Make sure it's after the closing quote**). It should look like below.<br>

   <figure><img src="/files/TSU6qhejLkpVoCa4FfiV" alt=""><figcaption></figcaption></figure>
4. Repeat for other Chrome shortcuts you use.
5. Exit Chrome and launch it from one of the launchers you changed.

## Mac <a href="#mac" id="mac"></a>

1. Open Script Editor (In Applications -> Utilities)
2. Paste the following:

```
do shell script "open -b com.google.Chrome --args --silent-debugger-extension-api"
```

3. Save it with the name "Chrome No Debugger" in Applications and file format **Application**.<br>

   <figure><img src="/files/yhObB7XBwAAwpTmmCqQt" alt=""><figcaption></figcaption></figure>
4. Exit Chrome if it's open.
5. Go to Applications to launch "Chrome No Debugger"

NOTE

You should remove the old Chrome shortcut from your Dock and only use this new one to open Chrome from now on.

## Linux (Ubuntu) <a href="#linux-ubuntu" id="linux-ubuntu"></a>

1. Open a terminal and copy the google-chrome.desktop file to your $XDG\_DATA\_HOME folder:

   `cp /usr/share/applications/google-chrome.desktop ~/.local/share/applications`
2. You need to modify the new google-chrome.desktop file, not the one located in /usr/share/applications/ as that one will be overwritten by package upgrades or release updates.

Edit all Exec= commands to append the `--silent-debugger-extension-api` option.

NOTE

You may have to unlock the icon from the launcher and lock it again to select the right .desktop file tough.

# How to correct capitalization mistakes?

A common issue with the dictated output is that it doesn't understand if the word in a given context is a proper noun or not. This can lead to capitalization mistakes in the dictated text. You can handle this in two ways:

1. **Using Sentence Case**\
   Voice In dictation case can be changed to sentence case. Setting case to "Sentence case" disables uppercase everywhere except at the start of the sentence. \
   The downside of sentence case is that even proper nouns will be typed in small letters. \
   To learn how to change case, see [Change Case docs](https://help.dictanote.co/plus/voice-in-plus-guide#h_01ed484xn6rcthz3deqwp68m88).
2. **Use Voice Commands with Default Case**\
   Capitalization mistakes can occur in the default case. Words that shouldn't be capitalized might be capitalized. You can correct this using voice commands.\
   For example, if the word `hangout` gets dictated as `Hangout` instead of `hangout`. You can add the voice command `Hangout` => `hangout`\
   Refer to the [Custom Voice Commands guide](/plus/custom-voice-commands) for instructions on how to add a custom voice command.&#x20;

# Voice In Security Approach and Architecture

Voice In is built with security and privacy in mind. For privacy policy, refer to the page linked below.

At Voice In, we prioritize security and privacy in everything we do. Below are the measures and technologies we use to ensure your data is handled carefully.

**Infrastructure and Device Management**\
Voice In is 100% cloud-based and hosted entirely on AWS, with Cloudflare providing an added layer of security, including DDoS protection and secure connections. For internal communication and management, we use Google Workspace.

**Payments**\
Payments are handled by Stripe and PayPal. Voice In does not store any credit card information on its servers. Stripe and PayPal process all payment data securely, and we only pass minimal data, such as subscriber IDs and customer IDs, to enable accurate billing. For plan updates, we process signed webhook requests from Stripe to adjust entitlements in our database.

**Customer Data**\
Voice In minimizes the data it collects to only what is necessary for functionality and support. Customer data such as email addresses and basic usage events may be stored securely on AWS or used for analytics through tools like PostHog (self-hosted) and Google Analytics. Voice In does not store any user recordings or generated transcripts.

**Shared Responsibility**\
Voice In is designed as a productivity tool to help users voice-type efficiently on the web. We only collect the minimum required data, such as your email address for account management and application usage settings. While we implement robust security measures to protect this data, we recommend users avoid entering sensitive or confidential information.

If you have any further questions or concerns about our security practices, feel free to contact us.

# Voice In Works on Some Sites but Not on Gmail or Google Docs

If Voice In works on some websites (for example, the Voice In Notepad at\
<https://dictanote.co/voicein/notepad/>) but does not work on others like Gmail or Google Docs, this is usually caused by **security restrictions** applied by your organization.

This issue is most common in **Google Workspace (managed) accounts**.

### Why this happens

Some organizations apply stricter security policies to Google-owned sites such as:

* mail.google.com (Gmail)
* docs.google.com (Google Docs)
* sheets.google.com (Google Sheets)

When these policies are enabled:

* The Voice In extension can still load and hear your voice
* But it cannot insert text or interact with the page

This is because the extension’s content scripts are blocked from running on those sites.

### How to fix it (Google Workspace users)

To resolve this, your **IT administrator** needs to explicitly allow the extension in the Google Workspace Admin Console.

Ask your IT team to:

1. Open **Google Workspace Admin Console**
2. Go to:

   **Devices → Chrome → Apps & extensions → Users & browsers**
3. Locate the **Voice In** extension
4. Ensure it is **Allowed** and permitted to run on Google sites (such as Gmail and Google Docs)
5. Save the changes

### Final step: Restart your browser

After the admin updates the settings, **restart your browser** completely.

In most cases, restarting Chrome immediately resolves the issue.

### Still not working?

If Voice In continues to work on the Notepad but not on Gmail or Docs after these steps, please contact your IT team again to confirm that:

* The extension is allowed for your user or organizational unit
* Site access is not restricted for Google domains

# Privacy Policy

[Voice In Voice Typing Chrome Extension](https://chromewebstore.google.com/detail/voice-in-speech-to-text-d/pjnefijmagpdjfhhkpljicbbpicelgko) is built with privacy in mind.&#x20;

* **Voice In only records your voice only when the program is turned on. Voice In doesn't record any audio when it off.**
* **Voice In does not transmit dictated audio or transcribed text to Voice In's servers.** Voice In uses the browser's native speech-to-text capabilities. All the audio is transcribed by the browser (Google Chrome or Microsoft Edge). The transcribed text is then inserted into the text box. Voice In does not save any of the dictated audio or transcribed text either locally or on our server.
* Voice In collects information about domains where Voice In is used and whether it worked successfully. We use this information for improving coverage and generating domain level usage statistics. This information is not shared with any 3rd parties.
* Voice In requires users login in order to store their settings and voice commands.

For users who upgrade to Voice In Plus:

* For Voice In Plus users, we store your username, email address, password and transaction history securely on Dictanote's servers.&#x20;
* Sensitive payment information, such as your credit card number and billing address, are not stored on Dictanote's servers. They are processed entirely via [Stripe](https://stripe.com/) or Paypal, Dictanote's billing providers.&#x20;
